Syncronicity: Live meetings in Visual Vocal

In addition to supporting asynchronous collaboration, Visual Vocal also enables multiple people to simultaneously explore an immersive set of content. We call the live meeting capability, "Syncronicity."

Creating content for a live V|V meeting:

Before you can host a meeting with a V|V, that V|V must be published. Unlike with asynchronous V|Vs, you do not, in the web portal, need to invite anyone to the project associated with the V|V. Meeting attendees will be invited on an ad-hoc basis once it's time for the meeting to start.

Starting-up (hosting) a live V|V meeting:

  1. Start the Visual Vocal smartphone VR app
  2. Open the list of "My V|Vs"
    • V|Vs that have been published, and are thus ready for hosting in a live meeting, are distinguished by having a "Host" button on their entry.
    • Download the content for the desired V|V by clicking on the "Download" arrow button on the appropriate entry.
    • Once the content has downloaded, the "Host" button becomes available.
  3. Tap on the "Host" button for the desired V|V
  4. Your V|V content will be prepped and a "V|V Meeting" ID will be generated

  5. The meeting will start and what you see in landscape (horizontally oriented phone) should look just like what you see in an asynchronous meeting.

  6. If you rotate your phone into portrait mode (vertically oriented phone) you'll see a screen from which you can invite people into the meeting:
    • On this screen you will see a seven digit "V|V Meeting" ID. This code is unique to the particular meeting you are about to host. If you were to host a new meeting, at a different time, with the same content, that new meeting would get it's own unique "V|V Meeting" ID.

Sharing a live V|V meeting with additional people (how to invite other people):

  • Other people whom you want to join you in a meeting do not have to be members of the associated Visual Vocal project. We keep your content only among a designated list of people by making sure that each meeting uses a one-time code that only exists for the duration of the meeting.
  1. When you are in the meeting, rotate your phone to a portrait (vertical) orientation
  2. You will now see the V|V meeting information screen:
  • Call the other meeting attendees and tell them the ID
  • Tap on the "Share" button to use the normal sharing mechanisms on your smartphone such as SMS messaging or email.
  • Tap on the "Use V|V Rapid Pairing" button to send an Rapid Pairing audio ID from your phone to other nearby phones that are set to join a meeting.
    • Your intended meeting attendees must also be running the Visual Vocal smartphone VP app and have the "Join V|V Meeting" screen open to receive the Rapid Pairing audio ID.
      • For a phone to successfully "hear" the Rapid Pairing audio ID, the Visual Vocal smartphone VR app must have permission to use the phone's microphone. If this has not already been enabled, it can be adjusted from the main Settings feature on a phone. Joining a live V|V meeting:

  1. Start the Visual Vocal smartphone VR app
  2. Tap on "Join V|V Meeting" from the Home screen to open the Join V|V Meeting screen:
  3. Enter the correct "V|V Meeting" ID
    • Manually type in the "V|V Meeting" ID and then tap on "Join V|V Meeting." OR
    • Have someone else who is already in the meeting send you a Rapid Pairing audio ID, after which the V|V will automatically start
      • For a phone to successfully "hear" the Rapid Pairing audio ID, the Visual Vocal smartphone VR app must have permission to use the phone's microphone. If this has not already been enabled, it can be adjusted from the main Settings feature on a phone. More information on these settings can be found at the article "Visual Vocal App Microphone And Camera Permissions".
  4. Your phone will start to download the content for the V|V Meeting you are about to join:

  5. Once you are in the meeting, you will may see the leader (or other meeting viewers) highlighting elements in the scene:

Syncronicity specific features (what can you do in a meeting?):

One you are in a V|V Meeting ("Syncronicity") you can draw paths to highlight particular elements in the scene. To do this:

  1. Press one of your fingers down on the phone's screen (if you are using an enclosed Google Cardboard style VR viewer, press-and-hold the viewer's button).
  2. While holding your finger down, move your head around so that the reticle (the colored square in the center of your display) moves around the element to be highlighted.
  3. As you move your head, the path will be drawn and broadcast to everyone else in the meeting.

  5. If you are the meeting leader you can end end the meeting by rotating your phone to portrait (vertical orientation) and selecting "Exit to my V|Vs"
  6. If you are a meeting viewer you can leave the meeting by rotating your phone to portrait (vertical orientation) and selecting "Exit Meeting"
